Follow-up for churches

No one slips through the cracks.

Every Sunday someone new walks in. PHTRACK makes sure each of them gets a call: it shows who needs one, who’s making it, when it’s due, and whether it happened.

PHTRACK on a phone: “2 people to follow up today”, with a progress ring and a card for the next person to call

Sound familiar?

Caring for people is the easy part.
Keeping track is the hard part.

“Who was meant to call her?”

Names get written on a card, passed along, and lost somewhere between Sunday and Wednesday.

“Has anyone heard from him?”

No one knows where each person is up to, so some get three calls and others get none.

“It’s been a month already?”

A week turns into a month and the moment has passed. Good intentions need a nudge.

How it works

Three simple steps.

Welcome

Add someone in a few seconds, or let visitors scan your QR connect card and fill in their own details. They’re assigned to a follow-up worker straight away.

Follow up

Each worker gets a morning reminder on their phone or by email. One tap marks someone Contacted or Tried, with an optional note.

Care well

Leaders see who’s overdue and who’s unassigned, and get a weekly summary by email, so nobody is forgotten.

What’s inside

Everything follow-up needs.
Nothing it doesn’t.

Today list

Overdue first, then due today, then coming up. Everyone knows exactly who to call next.

Morning reminder

A phone notification or an email, only on days someone needs a call. Each person picks.

One-tap updates

Contacted or Tried, plus quick notes like “Left a voicemail” or “Keen to come back”.

Your own rhythm

Set your follow-up steps, like 24 hours, 7 days and 1 month. PHTRACK works out the dates.

QR connect card

Print a poster for the foyer. Visitors scan, fill in their details and land on the list.

Weekly summary

Leaders get a short email: new people, follow-ups done, and who needs attention.

No response list

People who never reply move aside gently, without clogging the list, and can come back any time.

Roles that make sense

Leaders see everything. Workers see the people they’re caring for and can add new ones.

Feels like an app

Add it to your Home Screen on iPhone or Android. No app store, nothing to download.

Why we built it

I built PHTRACK for my own church. We kept meeting wonderful new people and then losing track of them. Not because no one cared, but because no one could see who was meant to call, or when.

Now our team opens one list each morning, and nobody waits a month for a phone call. I’d love to help your church do the same.

Join the pilot

Free while we shape it together.

We’re inviting a small number of churches to use PHTRACK and tell us what would make it better.

  • Free during the pilot. No card needed.
  • We set it up with you: your church, your follow-up steps and your team.
  • Your own space. Each church’s people are kept in their own separate database.
  • A real say in what we build next.

We’ll only use your details to contact you about the pilot.

Questions

Good questions.

Is it really free?

Yes. PHTRACK is free for churches in the pilot. If we introduce pricing later, we’ll tell you well in advance and you’ll be free to leave and take your data with you.

Do we need to install anything?

No. PHTRACK runs in the web browser on any phone, tablet or computer. On a phone you can add it to your Home Screen so it opens like an app and can send a morning reminder.

Who can see the people we add?

Only your church’s team. Leaders (admins) see everyone; follow-up workers see the people they’re caring for. Each church has its own separate database.

How long does setup take?

Usually one short conversation. We set up your church, then you add your team and choose your follow-up steps. Most teams are using it the same week.

What if someone doesn’t want to be contacted?

Tick “Do not contact” and they’re removed from every reminder. People who never reply can be moved to a No response list, so the team isn’t chasing them forever.

We’re a small church. Is it worth it?

Small churches are exactly who it’s for. It takes a minute a day, and it means the person who visited three weeks ago still gets a call.
